Below are some of the frequently asked questions (FAQs) from visitors to the official CRIM website.

A) RESEARCH GRANT & PROJECT MANAGEMENT

1. WHAT TYPES OF RESEARCH GRANTS ARE PROVIDED BY UTeM?

UTeM offers several types of research grants, including:

- Internal Research Grant (PJP)

- National Grants (FRGS, PRGS, TRGS, LRGS)

- Industry / Collaborative Grants

- International Grants

 

NOTE :

  • All applications for research grants must be made through CRIM.
  • All external grant ownership must be notified to CRIM for registration purposes.
  • All research grants must be registered by CRIM in the URIS system

2. WHAT ARE THE PJP RESEARCH GRANT, PJP TOP-DOWN GRANT AND PJP HIGH-IMPACT GRANT?

Short-Term Research Grant (PJP)

  • This grant serves as an ENCOURAGEMENT for young researchers with less than five (5) years of working experience to undertake research projects.

PJP Research Grant - TOP DOWN

  • This grant is competitive research grant either for a team or an individual, offered to a lecturers of Grade 45 and above. It is a research project aimed at helping to solve current issues at UTeM or fulfilling any current directives from UTeM or other relevant stakeholers.

High-Impact PJP Research Grant

  • The High-Impact PJP allocation is a financial injection from UTeM to researchers to further enhance and strengthen the quality of research and innovation enabling UTeM to lead in excellence within identified fields.

3. WHAT IS THE SCOPE OF DUTIES OF A GRA?

To conduct research until the completion of the project and to graduate within the stipulated timeframe.

4. WHAT IS THE PROCEDURE FOR APPLYING FOR AN INTERNAL RESEARCH GRANT?

Applications may be made through the university research system when officially opened. Please refer to the grant opening notices issued by CRIM from time to time.

5. CAN GRANT ALLOCATIONS BE USED TO PURCHASE RESEARCH EQUIPMENT?

Yes, subject to the ceiling limit permitted by the grant. The request must be stated in the approved proposal in accordance with the justification and specifications. The procument procedure must comply with the university's current procurement regulations.

 

  • NOTE : If the research equipment is not stated in the proposal, the researcher must obtain approval from CRIM / RND17.

6. WHAT IS A FIELD ASSISTANT (ENUMERATOR)?

  • An Enumerator is an individual appointed to collect data for the purpose of studies, surveys or research.
  • The fixed payment rate is RM5.00 for each completed set of questionnaires.

7. WHAT IS A PROOFREADER?

  • A Proofreader is an individual or company that provides services to review and examine each manuscript or report based on the edits that have been made.
  • The payment rate for internal Proofreaders for articles (journals or conferences approved by CRIM) is RM10.00 per page with a maximum payment ceiling od RM300.00 for each article.
  • The payment rate for internal Proofreaders (theses, book chapters related to research) is RM2.50 per page with maximum payment ceiling of RM500.00.
  • External Proofreaders must be appointed among qualified individuals registered with the university, applying the same rate as internal Proofreaders.

 

  • NOTE : This must be clearly stated in the research proposal.

8. WHEN AND HOW THE PROGRESS REPORT BE SUBMITTED?

  • The progress report must be submitted to CRIm every six (6) months OR as specified in the respective funder's guidelines.
  • Researchers who fail to submit their research progress reports within the stipulated timeframe, CRIM reserves the right to propose to JKTSPI for further action.

9. CAN THE RESEARCH PERIOD BE EXTENDED?

  • An application for an extension of the research period must be submitted at least three (3) months in before the end of the research period.
  • An application for an extensive for the first six (6) months falls under the authority of the Director of CRIM. However, certain research grants require approval from their respective funders.

 

  • NOTE : For grants under the Ministry of Education Malaysia (KPM), applications for the first and/or second extension will be submitted to the relevant Department in KPM but the application must be made through CRIM.

10. WHAT IS A RESEARCH CONSULTANT?

  • A research consultant is an individual or company that provides advisory services, guidance and technical support related to research to organisations, universities, private companies or government agencies.
  • Appointed consultants must possess recognised qualification certificates and be capable of carrying out the task assigned.
  • Payment for research consultancy services is subject to Vot 29000 (professional services) and the ceiling set for consultancy service payment is RM4,000.00

 

11. WHAT IS THE PROCESS FOR CHANGING THE PRINCIPAL INVESTIGATOR?

The Principal Investigator must relinquish the position if they are unable to perform their role for more than three months. The Principal Investigator must submit an application for a change to CRIM if :

  • Termination of service at UTeM
  • Study leave (including Postdoctoral), Sabbatical leave, Industrial attachment etc
  • Unpaid leave
  • Serving in another organisation (on secondment for more than 6 months)
  • Voluntary change of Principal Investigator or
  • Sick leave exceeding 90 consecutive days

However in cases such as maternity leave, Hajj/Umrah leave or sick leave (less than 90 days), the Principal Investigator must appoint a co-researcher to carry out duties during their absence.

NOTE : The application for a change must be submitted to CRIM within 2 weeks.

B) CONFERENCE & PUBLICATION MANAGEMENT

1. HOW ARE PROCEEDINGS AND JOURNAL PUBLICATIONS MANAGED?

Conference proceedings must be indexed in SCOPUS or ISI (WoS) or both. Articles they will definitely be published in a SCOPUS or ISI (WoS) indexed journal or both without any additional charges.

2. WHAT IS THE PROCEDURE FOR APPLYING TO ATTEND A CONFERENCE?

Applicants must refer to the training calendar in URIS. If the training/conference is not listed, the applicant must submit the CRIM(ISO)/PPP/RND07 form to be registered in the URIS system. Only the project leader, project members and GRA/RA of the related active grant are allowed to use the research budget for training purposes.

C) RESEARCH FINANCIAL MANAGEMENT

1. IS THE TRANSFER OF ALLOCATION (VIREMENT) ALLOWED?

  • Only the Principal Investigator is allowed to submit an application for allocation transfer.
  • Applications for allocation transfer must be submitted through CRIM/RND20 and require approval from the Authorising Authority.
  • The Principal Investigator is NOT ALLOWED to transfer allocations from one grant to another.

2. ARE ALL VOTs ALLOWED FOR ALLOCATION TRANSFER?

Not all VOTs are allowed for allocation transfer in research grants. The following VOTs are not permitted for the purpose of allocation transfer.

VOT 11000, 21000 and 29000 are NOT ALLOWED for allocation transfer for University Grants (PJP).

However, transferring out allocations for the Basic Services VOT (29000) is not allowed for University Short-Term Research Grants (PJP). Only transfer into this VOT are permitted.

3. IF THERE ARE RESEARCH ITEMS PURCHASED THAT WERE NOT STATED IN THE PROPOSAL OR IN THE INITIAL PLAN, WHAT SHOULD THE RESEACHER DO?

The reseacher must ensure that the item is directly related to the objectives of the ongoing research project. The researcher must obtain approval from the Director of CRIM by submitting the RND20 form (virement of allocation) with a strong justification.

All purchases must comply with the university's financial procedures and the current procurement regulations.
